Quick checks before you begin

  • Copy the characters exactly
  • Record where the number came from
  • Link it to the machine and sample
  • Keep proposed interchange in a separate field

Keep four number sources separate

Use a record that preserves context

  • Internal item ID and sample ID
  • Exact reference number and source
  • Machine brand, model, year and serial range
  • Row-unit, drum, bar, vertical position and hand when relevant
  • Photo links and retained-sample location
  • Supplier proposal, review status and approval evidence
  • Last verified date and document revision

Treat a cross-reference as a claim until verified

A supplier cross-reference can be useful for sourcing, but it should not overwrite the original number. Store the proposed relationship separately and attach the sample, dimension, material and fitment evidence used to approve it.

Names identify fitment context

Machine brands and reference numbers can describe intended application. They do not establish affiliation or authorization.

Freeze the approved record for repeat orders

After a trial is approved, freeze the drawing or agreed characteristics, supplier item, packaging and inspection record. Any later substitution should create a new revision instead of silently changing the old record.

Questions buyers and technicians ask

Can the supplier SKU replace the machine reference?

Keep both. The supplier SKU controls the purchase, while the machine reference preserves the intended application and comparison history.

What if a part number is superseded?

Record the old and new numbers, the source and revision that states the relationship, and any fitment limits.

Why keep the sample ID?

It links photos, measurements, quotations and inspection results to the exact physical item reviewed.
