Use a record that preserves context
- Internal item ID and sample ID
- Exact reference number and source
- Machine brand, model, year and serial range
- Row-unit, drum, bar, vertical position and hand when relevant

- Last verified date and document revision
Treat a cross-reference as a claim until verified
A supplier cross-reference can be useful for sourcing, but it should not overwrite the original number. Store the proposed relationship separately and attach the sample, dimension, material and fitment evidence used to approve it.
